When Teams Receive Activity Reminders & Notifications

Reminders will help parents and players set their attendance in a timely manner.

To help coaches stay informed about player availability, Heja sends reminders and notifications at several key moments. Below is a clear breakdown of when these messages are triggered.


Automatic Reminders & Notifications

Before the Activity

  • 3 hours before the activity starts*

  • Morning of the activity*

    • One reminder is sent to players who have already RSVP’d

    • Another is sent to players who have not RSVP’d

Changes to the Activity

  • If an admin updates or cancels an activity, all members marked as attending will receive a notification — but only if the admin chooses to notify the team.

Weekly Reminders

  • Every Sunday, Wednesday, and Friday, players who have not yet RSVP’d will receive reminders for activities happening in the upcoming week (within the next 7 days).


Pro Notifications:

Manual Reminders

Admins with a Pro subscription can manually send reminders:

  1. Open the activity.

  2. Tap Remind now.

  3. Choose to notify:

    • All players who haven’t responded, or

    • Only specific players.

RSVP Updates

Admins can switch on some or all of the following advanced reminders with Pro:

  1. New going RSVP's

  2. Change from Going to not Going


Notification Preferences

Team members can turn off certain reminders by going to:
You → Notifications → Activities

They can individually disable:

  • Morning of reminders

  • 3 hours before reminders

Notifications for activity edits will only be sent if the member has enabled update notifications of that type.

Important

  • Weekly reminders (Sun, Wed, Fri) cannot be turned off individually.
    They only stop if all notifications are turned off.
